Requirements:

Languages: Candidates must have fluency in English and a second language (Russian, Hungarian, Cantonese, Mandarin, Spanish, Portuguese, Tagalog, Farsi, and Arabic)
Education: Candidates should have standard educational qualifications such as a Secondary (high) school graduation certificate or Intermediate or a Bachelor’s or Master’s degree or equivalent experience
Experience: Candidates should have experience working in a dental practice

Physical Requirements:

  • The candidates should be willing to travel to other clinics and/or schools
  • The candidates should have the ability to work flexible hours, including evenings and weekends

Other Requirements:

  • The candidates should have experience in scheduling dental appointments, reception duties, and responding to telephone inquiries regarding dental needs
  • The candidates should have experience in the setup and maintenance of filing systems
  • The candidates should have experience in ordering dental supplies and office supplies
  • The candidates should have experience in completing dental insurance claim forms and compiling statistical data
  • The candidates should have experience with customer service and possess excellent keyboarding and data entry skills with an emphasis on volume and accuracy
  • The candidates should demonstrate the ability to work in multidisciplinary teams and maintain cooperative relationships
  • The candidates should have good interpersonal, written, and oral communication skills
  • The candidates should have the ability to carry out routine duties with minimal direction
  • The candidates should have knowledge of and familiarity with dental procedures and dental terminology

Responsibilities:

  • The candidates should be able to perform reception duties, including answering telephones and greeting clients and assist parents of clients in completing medical history information, survey questionnaires, and applying for provincially funded dental programs
  • The candidates should be able to ensure parents/patients sign eligibility forms for patients in the Ontario Senior Dental Care Program (OSDCP), “Healthy Smiles Ontario Dental Program” (HSO), and other dental programs
  • The candidates should be able to complete dental forms, maintain dental files, file charts/records alphabetically, and conduct annual file clearance and maintain the waiting room and schedule appointments for dentists, dental assistants, and hygienists
  • The candidates should be able to arrange dental appointments, refer patients to specialists, and follow up with patients from school screening programs and prepare staff-related documentation (attendance and vacations) and maintain up-to-date payroll and personnel information on dental staff
  • The candidates should be able to generate regular reports and monthly staff records on the computer, entering, updating, and retrieving computerized dental and clinical information using various software systems and maintain inventory by ordering, receiving, checking, and stocking dental supplies
  • The candidates should be able to receive dental supply requisitions from staff and arrange ordering and delivery of supplies and arrange for repairs and transfers, and track and monitor the safety of dental equipment
  • The candidates should be able to prepare and complete records for payment of equipment repairs and supplies purchased and collect and mail x-ray dosimeters for recording staff exposure to radiation
  • The candidates should be able to provide Toronto Public Health dental and other program information services to clients and residents, promoting clinics as necessary and providing health brochures and pamphlets
  • The candidates should be able to prepare dental claims for billing insurance companies and process and input dental claims and pre-authorization of dental services forms, verifying the completeness and accuracy of procedure codes and payment of fees, following up on claims that have not been paid
  • The candidates should be able to receive and process payments of claims as defined by policy and provide information to inquiries from parents, clients, staff, and other agencies regarding the department’s dental program eligibility guidelines
  • The candidates should be able to pack soiled laundry, arrange for pickup, complete laundry slips, sign incoming invoices, and forward them to appropriate personnel for payment
