Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of an approved three year Business Management Program HR Concentration
Experience: Candidates should have a minimum of three years’ experience within the last five in a progressively responsible administrative role

Physical Requirements:

  • The candidates should be capable of occasionally moving or lifting objects between 1-5 lbs, such as pens, paper, file folders or boxes
  • The candidates should expect to spend most of their time sitting at a desk, performing paper or computer work, making or answering telephone calls, or responding to emails
  • The candidates should be prepared to occasionally walk or stand to observe or consult with other staff and capable of multitasking and critical thinking
  • The candidates should regularly perform fine finger or precision computer work requiring steadiness and accurate movement or control
  • The candidates should have visual and hearing concentration to observe, consult with staff, work on documents, or listen to staff or the public on the telephone or in person
  • The candidates should demonstrate the ability to handle multiple projects under pressure and respond appropriately within deadlines

Other Requirements:

  • The candidates should have completed courses and demonstrate proficiency in MS Office, Internet, and various other computer applications and experience in HR technology and database management
  • The candidates should possess considerable experience in meeting deadlines while maintaining a high level of productivity, accuracy, and efficiency
  • The candidates should possess knowledge of employment legislation, collective agreement administration, and recruitment best practices and procedures and knowledge of account reconciliation
  • The candidates should demonstrate strong organizational, customer service, and interpersonal/communication skills
  • The candidates should exhibit excellent verbal and written communication, customer service, organizational, and time management skills
  • The candidates should demonstrate the ability to work with limited supervision within tight timelines and to work effectively within deadline-driven team-oriented tasks and a satisfactory record of work performance and attendance

Responsibilities:

  • The candidates should be able to work as part of a team to support Talent Acquisition, including Recruitment and Agency activities
  • The candidates should be able to coordinate and provide onboarding and customer services for clients, troubleshoot issues, and act as the liaison between managers or directors to ensure smooth processing of agency resources
  • The candidates should be able to reconcile invoices for payment approval, follow up on discrepancies, and process accounting information for budgets to allocate charges on invoice submissions and prepare reports and summary files
  • The candidates should be able to coordinate the receipt of resumes, liaise with programs and vendors, track applicant status, and coordinate assignment logistics
  • The candidates should be able to coordinate the job posting process throughout NLHS and perform regular recruitment activities, ensuring employment documents or letters are received, drafted, reviewed and actioned appropriately
  • The candidates should be able to conduct reference checks and maintain all related electronic workflow tools (e-Recruit and Workflow Management systems) for processing recruitment or assignments and advertising
  • The candidates should be able to provide direction and guidance regarding workflow processes to other staff and develop or run reports
