Requirements:
Languages: Candidates must have knowledge of the English and French Language
Education: Candidates should have completion of a post-secondary diploma or certificate in Business Administration or Paralegal Services
Experience: Candidates should have a minimum of 5 years of post-graduation experience, preferably in a professional legal environment
Physical Requirements:
- The candidates should have the ability to exercise tact, discretion, and sound judgment and able to learn new programs and program updates
- The candidates should be flexible and adaptable to working conditions, including irregular hours
Other Requirements:
- The candidates should have advanced skills with MS Office and Adobe products, particularly Outlook, Word, Excel, and Teams
- The candidates should have exceptional transcription, grammar, and proofreading skills and high degree of attention to detail and sensitivity to confidential and sensitive materials
- The candidates should be able to perform online legal research for case law, statutory references and a “can do,” results-focused attitude, and be a proactive problem-solver and fluency in written and oral French
Responsibilities:
- The candidates should be able to prepare a wide variety of routine and complex documents while ensuring a high degree of accuracy
- The candidates should be able to transcribe dictations and sound files, file, retrieve, and circulate documents
- The candidates should be able to answer telephone calls, take messages, and exercise initiative in directing and assisting callers
- The candidates should be able to schedule and coordinate meetings, appointments, and conference calls; make travel arrangements and coordinate itineraries
- The candidates should be able to assist with arranging Board hearings and related meetings
- The candidates should be able to compile and maintain hearing-related files and provide back-up and support to fellow administrative assistants
- The candidates should be able to provide reception relief on a rotational basis and perform Hearing Assistant duties
