Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates should have a completed 1 year certificate in Office Administration such as Office Professional certificate or Administrative Professional certificate
Experience: Candidates should have at least 3 years of related experience
Physical Requirements:
- The candidates should be prepared to provide proof of qualifications
Other Requirements:
- The candidates should have intermediate proficiency in Microsoft Office (Word, Excel, and Outlook) and database management
- The candidates should have experience using the 3-1-1 Customer Service Request system and responding to 3-1-1 service requests, which will be considered an asset
- The candidates should possess experience working with Financial & Supply Chain Management (FSCM) and Physical Objects, which will also be considered assets
- The candidates should demonstrate attention to detail, adaptability, and initiative in their tasks, and actively practice the City’s 4 Cs: collaboration, character, commitment, and competency
- The candidates should exhibit strong communication skills and a professional working approach, as well as the ability to complete work quickly and demonstrate good organizational skills
Responsibilities:
- The candidates should be able to provide administrative and business support to Community Safety Strategies and Community Research & Evaluation, including office support, document coordination, records management, meeting coordination, and incident report management
- The candidates should be able to manage schedules, calendars, and effectively coordinate meetings, ensuring optimal use of time and resources
- The candidates should be able to book meetings and necessary equipment, accurately resolving scheduling conflicts and ensuring smooth logistics, including the distribution of agendas to relevant members
- The candidates should be able to document, track, and diligently follow up on various action items and tasks, maintaining clear records to ensure accountability and timely completion
- The candidates should be able to provide comprehensive administrative support to managers and divisional staff as required, handling tasks ranging from correspondence management to data entry with professionalism and efficiency
- The candidates should be able to monitor and manage past due incident reports, implementing a proactive bring-forward system to address issues promptly, while also responding promptly to inquiries from both internal and external partners
- The candidates should be able to oversee the procurement of stationery and supplies, managing inventory levels and ensuring timely replenishment, while also coordinating IT and office logistics to support the smooth functioning of daily operations
