Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of a high school diploma
Experience: Candidates should have at least 5 years of experience in an administrative assistant capacity

Other Requirements:

  • The candidates should have equivalency GED and job-related courses, with at least 6 years of experience in an administrative assistant capacity or a completed 1-year certificate in Business and Office Administration
  • The candidates should have advanced computer skills in Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint) and previous experience with SharePoint, Adobe Acrobat, and Freedom of Information and Protection of Privacy (FOIP) requests
  • The candidates should have experience with Enterprise Content Server or a similar Records Management software
  • The candidates should have excellent communication and relationship-building skills with the ability to maintain confidentiality and exercise discretion when disseminating information
  • The candidates should have success in this position requires exceptional judgment, critical thinking, and problem-solving skills, and the ability to work independently and within a team
  • The candidates should be highly motivated and adaptable to quickly changing and multiple priorities

Responsibilities:

  • The candidate should be able to oversee calendar and meeting management to organize and optimize the Director’s time commitments, including agenda setting, minutes, and action items and manage tracking spreadsheets and actions from identification to completion
  • The candidate should be able to review the Director’s e-mails, urgent and action items, and deliverables, bringing them to the Director’s attention
  • The candidate should be able to represent the Director through email or phone and prepare draft or original correspondence for the Director’s signature and take minutes at business unit management meetings and other meetings, and follow up on action items
  • The candidate should be able to assist with office moves and new employee desk and equipment setup as required, including training and troubleshooting of office equipment
  • The candidate should be able to manage office administration needs, track and organize travel arrangements, prepare and reconcile financial transactions, including expense reports, credit card, and IT statements, and arrange venue bookings and coordinate event logistics
  • The candidate should be able to prepare and maintain various forms of correspondence and documents, including e-mails, letters, reports, management meeting agendas, and minutes, with attention to detail, professionalism, accuracy, and speed
  • The candidate should be able to collaborate with Council and their staff, and research and investigate previous Council and/or Committee directions
  • The candidate should be able to provide support to the Executive Advisor and other Director Office team members and provide backup support to the Executive Advisor
